Print Artwork & Proof Guide

Your artwork, ready for print

The right pixels.
The right background.

PNG preferred: 300 DPI at the actual print size, one file per side. Use transparency where no printed background is intended.

No printed background intended

Keep intended background colors

2 × 2inches before bleed
600 × 600pixels before bleed
Illustrated artwork examples. Checkerboard indicates transparent pixels; it is not printed artwork.

300 DPI at print size

Pixel width and height must equal the artwork canvas in inches × 300, rounded up to whole pixels. Changing the DPI label alone does not add image detail.

Transparency with intent

Transparent pixels leave the material beneath visible; opaque paper or vinyl does not become clear. Keep intended background colors and extend edge-to-edge artwork through the required bleed.

Follow the product template

Follow the selected product template, including bleed and safe areas. Name separate sides Front and Back; for a brochure, name the outside and inside spreads.

A good print starts with the right files, clear specifications and the correct approval for your product. Use this guide for your PPS print order, and keep the same reference throughout the project.

1

Confirm your job

Choose the product configuration and quantity shown in the listing, then prepare your files for its exact size, material and printed sides.

2

Use the right artwork path

Use the artwork upload field on your product page. Upload every required file and wait for completion before adding the item to your cart or choosing Buy now.

Review and approve

Paper packs and custom printed products: review the final proof and reply with approval of that exact version. Sending artwork or making a payment does not approve the proof.

Print-ready DTF: review your uploaded layout and selected sheet size, then give the artwork approval requested on the product page. See the DTF artwork requirements below.

Before production

Your job must meet its agreed payment requirements and pass PPS file-readiness review. Paper packs and custom printed products also require your approval of the final proof. Print-ready DTF uses your approval of the uploaded layout and selected sheet size; any required correction or separate proof must be resolved before production. Production and delivery follow the selected service and the schedule PPS confirms for your job.

Choose the right upload path

  • Paper print packs: upload 1–4 files before checkout. PNG is preferred at 300 pixels per inch at the actual artwork canvas size, including bleed. Name each printed side or page clearly. A print-ready PDF containing all sides or pages is also accepted.
  • Custom apparel, accessories and signs: upload 1–4 files. A transparent-background PNG in sRGB at 300 pixels per inch is preferred; follow the exact print area and bleed instructions in the listing. PDF, JPG, TIFF, SVG, AI, EPS and ZIP are also accepted by this upload field; PPS checks production suitability.
  • DTF gang sheets: upload one completed layout at the selected sheet dimensions. A transparent PNG at 300 pixels per inch is preferred; PDF and TIFF are also accepted. Do not mirror the artwork.
  • Build a coordinated setup: explore the print project formats and confirm your supported order route with PPS. Use a common project reference to keep each item and its artwork together.

The maximum is 200 MB per file. For a larger file, an unsupported format or design help, contact PPS before ordering. Keep your original files; upload links are not permanent file storage.

Review and replace

Use Review or replace on the product page before adding an item. In the cart, open View uploaded file on the correct line. To change artwork already in the cart, remove that item and add it again with the replacement upload. Add different artwork as separate cart lines, even when the product and size are the same.

After ordering, reply to the PPS order conversation with your order number before sending a revision. Do not assume a replacement has reached production until PPS confirms it.

Include these details with your files

  • Your PPS order number, when available, and the product name.
  • The project or design reference for each artwork set, matching its order line.
  • The quantity for each design. If your confirmed order uses packs, all packs on the same line repeat the same artwork; different designs need separate lines.
  • Clear file names and page order. For a two-sided job, identify the front and back of each design.
  • The exact website or QR destination and the final contact information you want printed.

One design can include its front and back. Different people, prices, QR destinations or layouts can create separate designs, even when the overall style is similar.

Different plant designs and refills

Each item or pack uses one artwork set. Choose the listed pack size for each plant design and add it as a separate cart line. Extra files support that artwork set; they do not add extra designs to a pack.

Name each file with the plant or SKU reference, design version and front or back. For a refill, add the earlier PPS reference and upload the current artwork again. Review the current configuration and approve a new final proof before production.

For labels and decals, use the material and mounting instructions in the listing. Confirm that the selected product suits your intended surface before ordering.

Prepare files for the confirmed format

For standard business cards, postcards, flat flyers and brochures, PNG is preferred at 300 pixels per inch at the complete artwork canvas size, including the required bleed. Export each side or page separately and name it clearly. A print-ready PDF is also accepted; embed images and outline text. Remove all template guides from the finished files.

Use the exact template supplied or confirmed for your job. Folds, label shapes, roll direction and display hardware can change the required artwork. Do not resize one product's template to create another.

If you need design help or only have a logo or partial layout, tell PPS before work begins so the scope and price can be confirmed. A screenshot or a web image may not have enough detail for the finished print.

Templates for confirmed paper formats

Standard paper-pack online ordering is paused. Use a template only after PPS confirms it matches your project. Remove guide layers from your final artwork. Extend backgrounds through the bleed and keep text and QR codes inside the template safety lines.

These standard paper formats use 1/16 inch (0.0625 inch) bleed on each outer edge. At 300 pixels per inch, multiply the complete artwork canvas width and height in inches by 300 and round up to whole pixels. For example, 4.125 × 6.125 inches requires 1238 × 1838 pixels. PNG artwork uses sRGB; print-ready PDFs may use CMYK. Transparent areas leave the paper or other material visible, so retain intended background colors and extend edge-to-edge artwork through the bleed. Check QR codes on a phone at the final print size. Order the sizes, folds and pack quantities offered in the listing.

Check every part of the proof

  • Spelling, contact details, prices, dates and quantities.
  • The exact QR link, tested on a phone, and any written web address.
  • Front/back orientation, page order, folds and the position of important text near trim lines.
  • The size, stock or material, printed sides and finish shown in the confirmed specification.

A screen preview is a guide to layout; screen colour and lighting can differ from the finished print. Raise any colour-critical requirements before approval.

If anything changes, request a revised proof. Identify the version you are approving so an earlier file is not sent to production. Changes requested after production starts may require a new job.

One identity. An exact proof for every item.

For a coordinated project, approve each item and placement against the same agreed job reference. A shared logo does not make a poster proof the approval for a shirt.

  • Apparel: check the confirmed garment style and color, size quantities, print dimensions and each placement.
  • Signs: check finished dimensions, material, orientation, printed sides and whether mounting, stands or other hardware are actually included.
  • QR and menu artwork: check the final destination, wording, prices and dates. Test the QR at its final printed size before approval.
  • Your approval: identify the item, placement and proof version. A change to the artwork or specification needs a revised review for the affected item.

Before checkout, review each product’s listed configuration, quantity, artwork requirements and production estimate. Shipping and tax are shown at checkout. Production time and carrier transit are separate. A requested event date is only confirmed when PPS agrees it.

Printed components may arrive in separate parcels. Use the confirmed shipment plan and each shipment's tracking; a bundle does not automatically mean one box or one delivery date.

DTF gang-sheet artwork

DTF transfers are for customers applying the designs with a heat press. Prepare one complete gang sheet at the selected dimensions, with a transparent background and 300 pixels per inch at final print size. PNG is preferred. Do not mirror the artwork. Arrange every design and quantity before uploading; standard print-ready service does not include background removal, resizing or rearrangement.

Check spelling, final dimensions, transparency and placement, and confirm that you have permission to print the artwork. Approve that exact uploaded layout at the selected sheet size on the DTF product page. PPS checks file readiness; this is not a design or spelling review, and the upload preview does not guarantee print quality. If a correction or separate proof is required, production waits until the corrected file or proof is approved. Follow the selected DTF service’s timing and fulfillment details.

Keep your project together

Reply in the same PPS email conversation when sending revisions or approving a proof. Print work can ship separately from plants or apparel; use the shipment plan confirmed for that print job.
